Job Description

Real Estate Assistant
We are seeking a highly organized, detail-oriented, and proactive Real Estate Assistant to support our fast-paced real estate business. The ideal candidate is a self-starter who can manage multiple priorities with ease, stay focused under pressure, and is passionate about providing exceptional support and service.
This is a part-time, in office position based in Arnprior, working Monday to Friday, 9:00 AM to 2:00 PM (25 hours per week).

Key Responsibilities:
Process contracts and disclosures ensuring all documents meet compliance requirements.
Upload, update, and manage property listings across MLS and various marketing platforms.
Coordinate home staging, photography appointments, and manage listing timelines from start to finish.
Create and schedule engaging social media posts, email campaigns, and marketing materials including flyers and brochures.
Professionally communicate with clients, vendors, and other industry professionals on behalf of the team.
Greet walk-in clients with a friendly, professional demeanor and assist with inquiries to ensure a positive first impression.
Maintain organized records through accurate data entry and proper documentation management.
Order supplies and inventory management
Keep in-office promotional materials up to date, including window flyers and signage.

Key Qualifications:
Previous experience in an administrative support role (real estate or related field preferred).
Excellent organizational skills and exceptional attention to detail.
Strong written and verbal communication abilities.
Ability to manage multiple tasks with accuracy and meet deadlines with focus and efficiency.
Proficiency with computers and office software (e.g., Google Workspace, Microsoft Office).
Experience with digital marketing, social media, and content scheduling and best practices

Technical Skills:
Proficient in Canva or Adobe Creative Suite (Photoshop, InDesign).
QuickBooks
Experience using CRM systems — Follow Up Boss experience is a strong asset.
Comfortable with MLS systems, listing platforms (e.g., Realtor.ca, Zillow), and basic website management.
Ability to create visually appealing marketing materials, including flyers, graphics, videos, and brochures.
Strong time management and a high level of accuracy in all tasks.

Preferred (But Not Required):
Basic video editing skills (for listing walkthroughs or promotional content).
Experience managing paid ad campaigns on Facebook, YouTube,Instagram, or Google Ads.
Prior experience in the real estate industry or a related professional setting.
