Position Summary
Bishop Water Inc. is seeking a highly organized, proactive and detail-oriented Executive Administrative Assistant to provide direct operational and administrative support to the Chief Executive Officer and Vice President.
This is a key role within a fast-moving environmental engineering company. The successful candidate will help manage executive schedules, coordinate important communications, maintain accurate corporate information and ensure that priorities are followed through efficiently.
The ideal candidate is confident, disciplined and comfortable managing multiple responsibilities in a busy professional environment. They will demonstrate sound judgment, strong communication skills and the ability to remain calm and organized under pressure.
Key Responsibilities
- Executive Support and Calendar Management
- Manage and coordinate the calendars, appointments, meetings and travel arrangements of the CEO and Vice President.
- Organize travel itineraries and related logistics.
- Serve as a primary point of contact for internal and external communications.
- Review and prioritize requests, ensuring urgent matters, contracts and important information are escalated appropriately.
- Prepare meeting agendas, confirm required materials and coordinate follow-up actions.
- Help protect executive time by ensuring meetings are organized, purposeful and properly prepared.
Project and Administrative Operations
- Work closely with project management, execution and office management teams to support the completion of executive priorities.
- Maintain accurate information within corporate software, customer relationship management systems and transaction records.
- Assist with preparing and maintaining project documentation, financial information, administrative reports and standard operating procedures.
- Complete twice-monthly inventory checks, asset reviews and administrative supply tracking.
- Communicate with suppliers and assist with administrative follow-up.
- Work with the finance team to help ensure purchase orders and related documentation are completed and distributed.
- Support cybersecurity and data-backup procedures in collaboration with the project team.
- Complete additional tasks assigned by the Execution Manager.
- Organize and maintain health and safety programs and subscription platforms, including ISNetworld.
Participate in required training. Approved training will be paid for by Bishop Water Inc., with work time provided for learning.
Sales, Marketing and Event Coordination
- Work with the sales and marketing teams to help keep the CEO and Vice President informed of deadlines, commitments and responsibilities.
- Assist with the coordination of corporate events, trade shows, marketing activities and related travel.
- Support event preparation, scheduling, documentation and follow-up.
Qualifications
- Post-secondary diploma or degree in Business Administration, Office Management or another highly disciplined operational field.
- Education in Police Foundations, Criminology or a related field may also be considered.
- A minimum of two to three years of experience in administration, operations management, executive support, high-volume hospitality supervision or a similar environment.
- Demonstrated ability to manage competing priorities, solve problems and remain composed during busy or high-pressure situations.
- Advanced proficiency with Microsoft Office, Google Workspace and modern customer relationship management databases.
- Excellent written and verbal communication skills.
- Experience handling difficult conversations or de-escalating challenging situations calmly and professionally.
- Strong organizational skills and exceptional attention to detail.

- Seasonal adjustments or coordination with local facility operations may occasionally be required.
