Job Description

The Administrative Assistant provides essential administrative and operational support to ensure the smooth functioning of the office. This role requires strong organizational skills, attention to detail, and the ability to multi-task effectively while managing competing priorities and maintaining professionalism and confidentiality.

Key Responsibilities:
• Provide day-to-day administrative support to the office and its staff.
• Perform general office duties, including clerical tasks, preparing internal/external correspondence, and generating reports.
• Support financial functions, such as reconciling billing, coding and tracking invoices, and monitoring petty cash.
• Overall office financial administration/bookkeeping, including payables, receivables, payroll.
• Coordinate logistics for employee training and travel, including booking hotels, flights, and managing schedules.
• Order office supplies and maintain inventory of office equipment, ensuring timely replacement.
• Support human resources with new hire onboarding, employee training, and administrative tasks.
• Assist in coordinating the Joint Health & Safety Committee program.
• Greet visitors, respond to phone calls, and maintain company phone lists.
• Effectively manage multiple tasks simultaneously, ensuring deadlines are met without compromising quality.

Qualifications:
• Strong organizational and time management skills; ability to multi-task and prioritize effectively.
• Post-secondary education in Office Administration or a related field is an asset.
• 1–2 years of related administrative experience.
• Strong interpersonal skills with excellent written and verbal communication.
• Proficiency in administrative software for word processing, spreadsheets, and database management.
• Experience with Sage Simply Accounting is an asset.
• Demonstrated teamwork, flexibility, and ability to build positive working relationships.
• Experience with shipping, receiving, and logistics is an asset.
• Maintain a high level of professionalism and confidentiality.
• Bilingual in English and French is an asset.

Monday to Friday 8am – 4pm
$25 - $30/hour with yearly bonuses
