SUMMARY
The Property Maintenance Officer is responsible for ensuring that Nigig Nibi Ki-win Gamik's facilities, buildings, grounds, vehicles, equipment and physical assets remain safe, functional and welcoming for children, youth and families, as well as for Elders, staff, visitors and community members.
The Property Maintenance Officer performs preventative maintenance, repairs, inspections, contractor coordination and grounds maintenance. They provide facility support while ensuring compliance with applicable legislation, health and safety standards, organizational policies and community expectations.
This position contributes to creating spaces that reflect the teachings and values of Nigig Nibi Ki-win by maintaining environments that are safe, caring, respectful, functional and conducive to healing.
The Property Maintenance Officer works collaboratively within the organization and is responsive to its arising needs. This role assists in fostering a positive workplace culture that is welcoming to all, efficient, accountable and grounded in community values.
DUTIES and RESPONSIBILITIES
Facility Management and Maintenance
• Complete routine maintenance and minor repairs to all organizational buildings and facilities.
• Conduct preventative maintenance on building systems and equipment.
• Perform basic carpentry, painting, drywall repair, plumbing, and minor electrical work within qualifications.
• Repair doors, windows, locks, flooring, fixtures, shelving, furniture, and office equipment.
• Install office furniture, signage, shelving, and workplace equipment.
• Respond promptly to maintenance requests submitted by staff.
• Assists with the delivery of material required for events/meetings/consultations, as well as larger related set-up and take-down efforts.
• Coordinate between Nigig and Capital project developments, assisting as needed.
Building Safety
• Conduct regular inspections of buildings and grounds.
• Identify hazards and implement corrective actions.
• Completing minor building repairs.
• Ensure emergency exits, fire extinguishers, lighting, alarms, and safety equipment remain accessible and operational, in conjunction with the Workplace Health & Safety Committee (see below).
• Assist with emergency preparedness activities.
• Assists with construction-related direction regarding any regular, location-specific, operational changes to staff/community as necessary.
Health and Safety
• Follow all Workplace Health and Safety requirements.
• Wear required personal protective equipment as needed.
• Maintain safe work practices.
• Report hazards, incidents and near misses immediately.
• Assist with workplace inspections.
Grounds Maintenance
• Maintain grounds of all Nigig operational location throughout all seasons (i.e. Coordinate/complete lawn maintenance, snow removal, ice control, landscaping, and exterior cleanliness).
• Remove hazards from walkways and parking areas and install any necessary safety equipment/hardware.
• Ensure outdoor areas remain safe and welcoming.
Contractor Coordination
• Coordinate external service providers, including: HVAC contractors, electricians, plumbers, locksmiths, security companies, cleaning contractors, fuel suppliers, fire inspection companies, waste management providers, pest control services and security company, etc.
• Monitor contractor work for quality and completion, submitting appropriate quotes/invoices for approval and payment.
• Obtain quotes as requested/as necessary through our procurement policy.
• Ensure contractors comply with organizational safety requirements.
Asset Maintenance
• Maintain organizational inventory of furniture, equipment, tools, appliances, maintenance supplies
• Recommend replacement of aging assets.
• Maintain maintenance logs and service records.
Vehicle Support
• Monitor the condition of organizational vehicles, including recreational equipment and fleet vehicles.
• Coordinate routine servicing and repairs, including taking vehicles in for maintenance and repair.
• Ensure seasonal tire changes are completed.
• Maintain vehicle cleanliness, interior/exterior.
• Report maintenance concerns promptly.
Emergency Response and Risk Management
• Respond to urgent maintenance issues affecting staff or client safety.
• Assist with after-hours emergency building issues when required.
• Support restoration following weather events or facility emergencies.
• Actively assessing buildings, locations and assets to mitigate potential safety concerns with respect to regular operations, and general upkeep and compliance.
Administrative Responsibilities
• Maintain maintenance records and work orders.
• Track asset and supply inventories.
• Request replacement materials.
• Assist with annual maintenance planning.
• Participate in budgeting for facility maintenance.
• Prepare work reports as requested.
WORKING CONDITIONS
This position is an on-site position which includes all working sites, therefore requiring regular travel to and from locations. The position works for a growing organization that is fast-paced and often requires quick response and turnaround times. The work and the task environments involve outdoor seasonal work, heavy lifting and a high level of physicality in the course of the day. Work involves contact with other staff, clients, service providers and other internal and external stakeholders. Work is subject to deadlines and interruptions. Work can potentially involve coming into contact with people in vulnerable states and requires kindness and a high degree of professionalism and confidentiality. Work involves travel and working 35 hours per week on a flexible schedule, which may include evenings and weekends and being available after hours as needed to address inspections, incidents or other operational needs.
EMPLOYMENT REQUIREMENTS
1. Basic Requirements:
• Post-Secondary Diploma in Property Management, Fleet Management or a combination of skills and experience in these areas.
• Minimum of two (2) to five (5) years of demonstrated experience in property management
• Minimum of one (1) to two (2) years of fleet management experience
• Minimum of a “G” driver’s license and a clear driver’s abstract, Class “E” is preferred and/or a willingness to obtain
• Experience working with First Nations, Inuit, and Métis (FNIM) people in a community-based setting would be considered an asset.
2. Rated Requirements:

• Indigenous knowledge, in particular, knowledge of Algonquin child and family values, traditions, and practices
• Knowledge of general administration best practices and procedures
• Understanding of workplace health and safety legislation, standards, and best practices
• Knowledge of fleet management principles, including vehicle maintenance, inspections, and safety requirements
• Familiarity with vendor management, contract coordination, and service agreements
• Working knowledge of financial administration, including expense tracking, and basic budgeting
• Working knowledge of office technology and systems.
• Awareness of risk management and operational efficiency best practices.
