Job Description

Parish Administrator

St. John the Evangelist Anglican Church, Smiths Falls

Introduction

St. John the Evangelist Anglican Church is seeking a reliable and organized Parish Administrator to support the daily operations of the parish. The role ensures the smooth functioning of the church office and provides administrative support to the Incumbent, clergy, wardens, volunteers, and parishioners. The ideal candidate is professional, tech-savvy, and able to manage multiple tasks in a welcoming faith-based environment.

Key Responsibilities

1. Office Administration & Support

Manage calendars, correspondence, records, supplies, and office systems.
Respond to emails, phone calls, and in-person inquiries professionally.
Prepare agendas and take meeting minutes.
Coordinate parish communication and mailings.
Assist with document preparation, printing, and scheduling for staff and volunteers.
2. Worship & Pastoral Coordination

Prepare Sunday bulletins, prayer lists, readings, and announcements.
Coordinate worship participant schedules and special service materials.
Liaise with funeral homes and inform Pastoral Care as needed.
3. Facility & Rental Management

Book rooms and maintain facility calendars.
Issue rental agreements, invoices, and track insurance for external groups.
Coordinate with tradespeople and suppliers for repairs and service.
4. Financial & Records Support

Maintain petty cash, digital contracts, and support basic bookkeeping.
Submit reports and assist in budget preparation.
Secure donations and archive church records.
5. Newcomer & Parish Engagement

Distribute and manage Newcomer Welcome packages.
Contact new attendees and maintain parish lists.
Communicate updates to clergy and the Envelope Secretary.
6. Communications

Serve as liaison for parish, diocese, and external contacts.
Support digital and print communications.
Ensure timely and confidential handling of all correspondence.
Qualifications

3–5 years of administrative experience (non-profit or church setting an asset).
Proficiency in MS Office (Word, Excel, Outlook, PowerPoint); familiarity with Squarespace, Mailchimp, or publishing software an asset.
Strong communication, organizational, and interpersonal skills.
Able to manage confidential information and multiple priorities with discretion.
Knowledge of Anglican practices is an asset.
Police Records Check required.
Job Details

Position: Parish Administrator
Reports to: The Incumbent
Hours & Compensation: 20 hours over 4 days per week. $22/hour
